Web Conferencing FAQs:

  • What is a web conference? Web conferencing is a relatively new form of communicating with customers, remote employees, prospects, associates and partners. It is a web based application that allows your presentations to be interactive. From your PC in your office or at home you can share files, facilitate with an online whiteboard or textboard, make annotations on the fly to presentations and poll your audience, among other things. Web conferencing may include web based audio and video components as well depending on your objectives.
  • What are the benefits of using web conferencing? No travel, minimal expense, application sharing, online presentations, annotations, immediate polling, online Q&A, post event reporting. Many companies use web conferencing for Training, Sales calls, lead generation/Marketing and document collaboration.
  • What are the System Requirements? Microsoft Live Meeting System Requirements
  • How is a web conference set up? Web conferencing is set up on the Microsoft Office LiveMeeting web console or directly through Outlook (must download the Outlook Add-in found in the "Downloads" link on the support page.
  • How do I enter a web conference? You will be sent the login information via email in most cases by the organizer of the conference. The login information will have the meeting link including the Meeting ID, Meeting Key and telephone number to dial into. If you know this information, you can go directly to www.livemeeting.com/cc/bostonconferencing to login.
  • Can I use Outlook to schedule web conferences? Yes, download an outlook add-in from Microsoft (see download link on support page) that will allow you to organize, schedule, invite attendees, and kick off a meeting directly from outlook.
  • What do I do if I cannot enter the web conference? If you are having a difficult time entering a web conference or installing the LiveMeeting console, contact Microsoft Support at (866) 493-2825 or Boston Conferencing at (877) 728-3904. You do not need to install the console in order to attend the conference, but it offers more functionality.
  • Is there specific technological equipment for listening to or participating in a web conference? All you need is a PC and an internet connection. See the System Requirements on the support page for more details.

Tele-Conferencing FAQs:

  • What is an audio conference? A group of people at various geographical locations can conduct a meeting easily over the phone. We offer reservationless conferencing so that you have a "teleconference" always on hand.
  • How is an audio conference set up? There is no set-up. Just hand out your reservationless dial-in number and the meeting passcode. You will log in as the leader to kick off the call.
  • How do I put a call into lecture mode? The various touch tone keys controls vary by service. Contact us or reference your Boston Conferencing Card or training document.
  • What features are included for an audio conference? The easy to use features include group and individual muting, roll calling, recording, entry locks.
  • Can you enter a conference at any time? Yes, if you have the reservation list teleconferencing number and leader pass code, then you will be able to kick off the meeting at any time.
  • Will I be charged for entering a conference? Yes, any attendees are charged in terms of minutes.
  • Can the participants of a call begin a conference without the leader? Someone must log in as a leader. You may have multiple people log in as a leader if desired.
  • If the leader loses the connection, does the conference get interrupted? It depends on the service you are using. Please contact your account representative for more details on this.

RLUG Online FAQs:

  • How much does it cost? No fee to join RLUG Online. No fee to download presentations. There are fees to attend live web conferences and to view the recordings. For more details, go to our pricing page.
  • How do I buy minutes? You must be registered with RLUG Online as the primary account holder for your company to buy minutes. After you are registered, log into the site and click on "Buy Minutes" on the left side of the screen. You may use your credit card to purchase minutes.
  • Can anyone in my company use my minutes? Yes, as long as you add them to your account by clicking on "My Members", they will be able to share the time you've purchased.
  • If I can't make a meeting that I've registered for, will I lose the minutes? No, we only deduct the time you spent in the conference from your account.
  • How do I register for an event?
    1. Join RLUG Online
    2. Login to RLUG Online
    3. Click on Upcoming Events and check off the event(s) you would like to register for.
    4. Make sure you have enough time in your account to attend this conference by looking at your account balance at the top of the Upcoming Events page. Purchase more minutes if your Projected Balance is negative. A few days before the event you will be sent the login information.
  • How does web conferencing work? You will log into a visual component of the conference on your PC and dial into a teleconference to hear the presenters on your telephone. You can ask questions via the telephone or via the web console.
  • I can't get into the conference.What do I do? Call Microsoft LiveMeeting Support at (866) 493-2825. If you are unsuccessful, feel free to contact Boston Conferencing at (877) 728-3904.
  • I can't find my password. Call us: (877) 728-3904. Or click on "forgotten your password?" on the login page.
  • Where do I go to see how many minutes I have left on my account? To view your remaining minutes, please visit our website at www.bostonconferencing.com, click on "Account Management"under the RLUG Online column, and at the top of the screen your "Account Balance" will be listed with your remaining minutes.
  • How much time before the start of the conference do I need to register? You can register right up to the start of the conference. If you have minutes in your account the login information will be emailed to you.
